Help Finding a Proctor:

Upon registering within vTools you will enter your student branch.  If a proctor has pre-registered, choose a name from the drop-down list of Proctors. If one does not pre-populate, you may enter the membership number of a proctor you have identified.

If you are unable to find one:

Step 1: Login to https://ieee-collabratec.ieee.org/?ppctNextUrl=/app/home and create an account.
Step 2: Click on People then IEEE Mentors
Step 3: Select your section name from My Section Column
Step 4: Then select Member, Senior Member, Fellow, Life Member, Life Senior and Life Fellow under Member Status Column
Step 5: Click on the member’s name and on the right-hand side, a “Send Message” button will allow communication with the member. If the button is grayed out, you must find another volunteer.
Step 6: In the body of the message, you can use the following copy to seek the help of volunteers to become proctors:

Dear [Member’s Name],

Hello, my name is [Your Name] and I am an IEEE Student member from [Your School] who is interested in participating in IEEEXtreme 13.0. IEEEXtreme is a global 24-hour programming competition for teams of IEEE student members. In order for our team to participate a proctor is required. Unfortunately, we are unable to secure a proctor. We are reaching out to you to see if you would be able to proctor at our university or recommend someone who could. More information on IEEEXtreme 13.0 can be found here: https://ieeextreme.org/

  • Some of the responsibilities/requirements of the proctors are but not limited to:
  • Monitor general flow of the activity (24-hour period, 19 October 2019, starting at 00:00:00 UTC)
  • Inform students when the event begins, middle point, and when there are 6 and 1 hours remaining
  • Ensure that no one external to the team assists the student participants in solving the problems
  • Proctors must be an IEEE Member of higher-grade membership
  • A proctor can support multiple student teams
  • More information on proctoring and to register can be found here: https://ieeextreme.org/proctor-eligibility-and-requirements/
